  • 1. Allocate one single resource in the organization structure

Allocation management

1. Allocate one single resource in the organization structure

Associate a resource with an organizational structure chosen among those available in the system.

Click on the widget Allocation management to access the main page.

Define the CID or surname and name of the resource, which needs to be allocated, and click on the button Apply.

Select a resource by ticking a checkbox and click on the button "Allocate selection".

The selected resource is displayed in the pop-up. To allocate the resource define the: type, branch and site (as mandatory fields).

To fully allocate the resource, define the fields: department and manager. After the allocation is defined, click on the button "Save".

Click on the button "Yes" in the notification pop-up to confirm the allocation.

2. Select resources which are not allocated and allocate them

Select resources which aren`t allocated and give them the correct allocation.

Click on the widget Allocation management to access the main page.

Select a list of resources which are not allocated, by ticking a checkbox. Not allocated resources are indicated with the red color in the "Check allocation" column.

After a list of resources is selected, click on the button "Allocate selection" which will open a pop-up.

The selected list of resources is displayed in the pop-up. To allocate them define the: type, branch and site as mandatory fields.

To fully allocate the resources, define the fields: department and manager. After the allocation is defined, click on the button "Save".

Click on the button "Yes" in the notification pop-up to confirm the allocation.

3. Filter a set of resources by attributes

Filter the list of resources by using the main attributes: CID, surname, name, type, branch and site.

Click on the widget Allocation management to access the main page.

The resources can be filtered by the following filters: CID, Surname, Name.

Also, resources can be filtered by the advanced filters: Type, Branch and Site. To expand advanced filters click on the "Advanced filters".

To filter a single resource, define the filter CID or surname and name and click on the button "Apply". The resource will appear in the table.

To filter a set of resources by their type (WC or BC), define the filter type and click on the button "Apply".

To filter the resources for a certain scope, define filters branch and site and click on the button "Apply". A list of resources within the defined scope will be displayed in the table.

In case the filter type is defined as "WC", the new row of fillters will appear alowing to filter resources by their corresponding manager. Define the name and the surname of the manager, then click on the button "Apply".

Allocation management

4. Import the allocation of a set of resources

Define a range of allocation, download pre-formatted sheet, fill in with data, upload the new allocation for a set of resources

Click on the widget Allocation management to access the main page.

Click on the "Advanced filters" to expand the advanced filters.

Define the scope (Branch and Site) in which the resources need to be allocated and click on the button Apply.

Click on the button "Import allocation".

Click on the button "Download excel template" to export the spreadsheet document.

The Allocation management template document contains the following columns: Resource, Branch, Site, Type, Unit, UTE and Department. The first 4 fields are mandatory to be defined.

To properly define the data, the information needs to be selected from the list. Click on the desired cell and choose the data from the dropdown manu.

Once the list of resources with their allocation is defined, save and close the document.

Go to the main page of the Allocation management and click on the button "Import allocation".

In the pop-up, click on the "Next" button to proceed to upload excel template pop-up.

Click on the button "Import data from excel" and select the document from the file dialog and upload it to complete the allocation of the resources.
