Project Controlling

1. Overview project running status

Check out widget`s chart and indicators. Access the main page, list current projects in controlling. Order them, filter them. Understand status indicators: delayed, pending, running.

Click on the widget to proceed to the main page.

The main page shows the list of projects in controlling.

Projects can be filtered by the following filters: unit, UTE, title, leader and the status.

To filter by their status, define the filter "Status" and click on the button "Apply".

A list of projects with the corresponding data will appear in the table.

2. Check out project controlling details

Check out the project card to compare data between different phases` extimations (read only). Check out the planning card and the running card to verify all the past phases details (read only). Operate on controlling tab to insert benefits, soft savings, costs and investments only for past and current moths.

Click on the widget to proceed to the main page.

Select the desired project and click on the modify (lens icon).

In the "Project card" tab the summarized information for this project can be seen, including the Planning and Running phase.

In the "Planning" tab information for this project can be seen (name, project leader, description, expected start date and expected end date).

Tab Running shows information for project related to the running status.

Tab Controlling contains: benefits, soft savings, costs and investments only for past and current months.

3. Close a project with no benefits

If a project doesn`t have data for any month, it can be closed as with no benefits. A notification is generated towards the leader. The projct is archived as implemented with no benefits.

Click on the widget to proceed to the main page.

Select the desired project, which has no benefits, and click on the modify (lens icon).

In the detail page click on the button "Close with no benefits".

The pop-up will appear. Click on the button "Close with no benefit" to close the project.

The project is successfully closed with no benefits.

4. Approve and consolidate monthly control

Access to controlling tab, check out monthly data. Certify and publish button consolidate economics data and make them visible in the official reports.

Click on the widget to proceed to the main page.

Select the desired project and click on the modify (lens icon).

Select the tab Controlling, scroll down the page and enter the data for benefits and costs for all months. To add a new benefit or a new cost, click on the "+" button.

Click on the button "Save changes".

Scroll up and click on the button "Certify and publish".

The notification pop-up will appear. Click on the button "Yes" to certify the project.

5. Close controlling phase consolidating yearly data

Access to controlling tab, check out available data (one month at least is required). Close controlling button consolidate economics data. If the expected 12 months of controlling are not all filled in, the system shows two options to complete them: automatic compiling and manual compiling. In both case a manual correction is admitted. When all the data are inserted, close controlling button will ask for notes and will close the controlling phase generating a notification.

Click on the widget to proceed to the main page.

Select the desired project and click on the modify (lens icon).

In the detail page click on the button "Close controlling".

In case there is a missing data for some of the months in the project the pop-up will offer 2 options:

1. Automatic compiling (which will fill in the remaining data with an average value of the defined cells in the tables);

2. Manual compiling (which will enable all the cells in the tables to be manually filled in).

Select the automatic compiling.

Once the data is automatically (or manually) filled in, click again on the button "Close controlling".

The pop-up will appear. Click on the button "Close controlling".

The notification pop-up will appear. Click on the button "Yes" to certify the project.

6. Analyse projects in controlling with visual charts

Access to main page charts to show and filter data about Project controlling overview, Actual savings per area.

Click on the widget to proceed to the main page.

On the main page, click on the chart icon to expand a drop-down menu with available charts. Click on the desired chart to proceed to the chart page.

The chart shows actual and expected amounts of benefit, cost and saving per month.

Scroll down to see the chart with all information.

Bellow each chart there is a table which gives detailed information about the chart.
