Profile management

1. Grant an access profile for a single user

Assign access rights to a single user with a specific profile.

Click on the widget Profile management to access the main page.

On the main page click on the button "Grant profile to selection".

In the pop-up "Add resources" define the field CID, or surname and name, and click on the button "Apply".

The defined resource will appear in the table. Click on the button "Add" and then click on the button "Continue".

Based on the selected profile, new fields will appear where the scope can be defined within the organization (in this case: branch, site and department). After all mandatory fields are defined, click on the button "Save".

In the pop-up "Grant profile to selection" define a desired profile to be granted to the listed resource.

2. Grant an access profile for a set of users

Assign access rights to a group of users with a specific profile.

Click on the widget Profile management to access the main page.

Select a list of profiles by ticking checkboxes. Then click on the button "Grant profile to selection".

The notification pop-up will give an option to add more resources. Click on the button "No".

In the pop-up "Grant profile to selection" define a desired profile to be granted to the listed resources.

Based on the selected profile, new fields will appear where the scope within the organization can be defined (in this case: branch, site and department). After all mandatory fields are defined, click on the button "Save".

To confirm the action, click on the button "Yes" in the notification pop-up.

3. Filter a set of profiles by profile attributes

Filter a set of profiles through a choice of the conditions on the related attributes: type and scope

Click on the widget Profile management to access the main page.

The profiles can be filtered by the following filters: Profile, Profile status, CID, Surname, Name. Based on the selected profile the scope can be defined (branch, site, department, etc.).

To filter a single resource, define the filter CID or surname and name, then click on the button "Apply". The resource with its profile (or profiles) will appear in the table.

To filter the data by profiles, define the filter profile and click on the button "Apply". A list of resource with the corresponding profile will appear in the table.

To filter the profiles by the profile status, define the filter "Profile status" and click on the button "Apply". A list of profiles with the defined status (in this case the status "Frozen") will be displayed in the table.

4. Unfreeze profiles

Select frozen profiles and unfreeze them

Click on the widget Profile management to access the main page.

Select a list of resources, which have the profile status "Frozen", by ticking checkboxes. Then click on the button "Freeze/Unfreeze profile to selection".

A list of the selected profiles will appear in the pop-up. In case one of the profiles needs to be excluded from the list, click on the button "Remove".

Once the list is correct and all profiles have the profile status "Frozen", click on the button "Unfreeze".

To confirm the action, click on the button "Yes" in the notification pop-up.

The unfrozen profiles will appear in the main table and have the profile status "Active", highlighted with green color.

5. Delete profiles

Deletes a specific profile, revoking the relative access rights to the system for the user to whom it was assigned

Click on the widget Profile management to access the main page.

Select a list of profiles by ticking checkboxes. Then click on the button "Delete profile to selection".

A list of the selected profiles will appear in the pop-up. In case one of the profiles needs to be excluded from the list, click on the button "Remove".

Once the list is correct, click on the button "Delete all".

To confirm the action, click on the button "Yes" in the notification pop-up.

6. Freeze profiles

Freeze a specific profile, revoking the relative access rights to the system for the user to whom it was assigned

Click on the widget Profile management to access the main page.

Select a list of profiles, wich have the profile status "Active", by ticking checkboxes. Then click on the button "Freeze/Unfreeze profile to selection".

A list of the selected profiles will appear in the pop-up. In case one of the profiles needs to be excluded from the list, click on the button "Remove".

Once the list is correct and all profiles have the profile status "Active", click on the button "Freeze".

To confirm the action, click on the button "Yes" in the notification pop-up.

The frozen profiles will appear in the main page and have the profile status "Frozen", highlighted with color yellow.

7. Manage access profile of the user

Delete/freeze/unfreeze a specific profile, revoking the relative access rights to the system for the user to whom it was assigned

Click on the widget Profile management to access the main page.

Define the CID filter or the surname and name for the desired resource and click on the button "Apply".

The desired resource with its profiles will appear in the main table. Click on the detail to proceed to the detail page.

Within the tab Access profile detail, the profile can be freezed (or unfreezed) and deleted.

Within the tab Other access profiles, the other profiles of the resource can be freezed (or unfreezed) and deleted. Moreover, a new profile can be added.

To add a new profile to the selected resource, click on the button "Add access profile" within the tab "Other access profiles". In the tab define the name of the profile as well as the scope (branch, site, department) and click on the button "Save".
